Terms of Registration
These Terms and Conditions form part of the registration to the MoodleMoot™ Global 2025 conference (the “Event”) between Moodle Pty Ltd, (referred to as “Moodle”) and the party whose name appears as the delegate (the “Delegate”) upon registration.
Registration
By submitting a completed online registration form, the Delegate makes a binding offer to attend the Event, subject to availability and confirms their acceptance of these Terms and Conditions. A binding contract is formed only when Moodle has received full payment for the Delegate’s registration and issues a booking confirmation email. If Moodle cannot process the booking, for example, due to overbooking, the Delegate will be notified by email and no charges will apply. Registration fee covers:
- Attendance at keynote and regular presentations (if applicable).
- Workshops (if applicable).
- Training sessions and focus sessions (if applicable, and subject to booking).
- Networking drinks (if applicable).
- MoodleMoot Global 2025 T-shirt.
- Party on the second day.
- Daily refreshments: tea, coffee, morning tea, lunch and afternoon tea.
The registration fee does not include accommodation, ground transport, airfares or any other travel costs, meals outside the Event nor any other incidental costs.
Payment Terms
Registration payments are due within 14 days of the invoice date. Moodle accepts payment by credit card or bank transfer – the only two accepted payment methods for this Event. Upon the Delegates completion of your registration and payment, Moodle will issue an invoice to the email address provided at registration. All Delegates acknowledge and accept responsibility for any additional charges incurred from bank transfers or credit card payments. If the Delegates institution/company is covering the registration fee on behalf of the Delegate please ensure that payment has been paid within 14 days of registration. Payment must be received in full before the commencement of the Event.
All amounts shown on the MoodleMoot Global 2025 site are in British Pound Sterling (GBP) and are inclusive of booking fees and VAT.
Sharing registrations
Each registration is valid for one (1) individual Delegate to attend the Event. Registrations are non-transferable unless an official transfer request is approved by Moodle (as detailed below). A single registration cannot be shared between multiple Delegates.
Registration Deadlines
- Early Bird Payment Deadline: Monday 30th June 2025.
- Final Registration Date: Monday 8th September 2025.
Cancellation Policy
All cancellation requests must be made in writing to Moodle by completing our contact form. Subject to force majeure events, if a cancellation notice is received more than 30 days prior to the commencement of the Event, a refund will be issued, minus a £60 administration fee. Refunds will be processed using the same payment method that was used to complete the registration payment. If a bank transfer is required, the Delegate is responsible for any associated bank or conversion fees. If a cancellation notice is received 30 days or less prior to the commencement of the Event, no refund will be issued.
Non-Attendance
No refunds will be made due to non-attendance.
Transfer of Registration
Registrations may be transferred to another person up to two weeks prior to the commencement of the Event, subject to Moodle’s sole discretion. To request a transfer, the registered Delegate must submit a request via the contact form, which includes the new Delegate’s full name, email address and organisation. Moodle will use reasonable endeavours to organise the transfer of registration.
MoodleMoot Global Program Changes
Moodle reserves the right to modify the program, date and/or venue at any time without prior notice. Moodle will, of course, provide as much notice as possible.
MoodleMoot Global Values
Moodle reserves the right to cancel and refund any registrations by Delegates whose participation is not aligned with Moodle’s values or who are in direct competition with Moodle and its Certified Partners.
Moodle Trade Marks
The word Moodle and associated Moodle logos (including “MoodleMoot”) are trademarks or registered trademarks of Moodle Pty Ltd or its related affiliates. Delegates may not use Moodle’s trademarks without prior permission.
Special Dietary / Physical / Other Requirements
Special dietary, physical and other requirements must be requested in writing at the time of registration. Requests will only be accommodated if confirmed by Moodle prior to the commencement of the Event.
Privacy Statement
By registering for this Event (or registering on behalf of others), Delegates acknowledge and consent that Moodle will collect and store certain personal information fto:
- register attendance at the conference;
- assist with administrative and planning purposes;
- plan and develop further events;
- facilitate individual requirements in relation to the Event;
- Compile and analyse relevant statistics;
- invite Delegates to future events; and
- Enable Moodle or its Certified Partners (where Moodle cannot meet your needs) to contact you regarding Moodle software products and services, in accordance with our Privacy Policy.
The information that you provide in the registration form and during the Event, including feedback, will help Moodle deliver and improve its events. Moodle may share limited details – such as Delegate’s names, organisations, locations and emails – with third-party providers to process payments and fulfil tax obligations.
Moodle will not use or disclose your personal information for any other purpose without your consent unless it is necessary for the delivery of the Event, improvements or if required by law. All personal data collected is processed internally by designated Moodle staff members and stored securely in compliance with Moodle’s security standards. Photography & Filming
Photography and video recording may take place during the Event for promotional purposes. Delegates who do not wish to be filmed or recorded must inform Moodle prior to the commencement of the Event.
Speakers
The views and opinions expressed by the presenters/speakers at the Event are their own. Moodle accepts no liability for any advice given or views expressed at the Event, nor for any materials provided to the Delegates during the course of the Event.
Additional Speaker Terms & Conditions
Moodle may use speakers’ names and presentation materials when promoting the Event. Presentations and associated materials will not be returned unless specifically requested by speakers. Moodle may record or video all speakers’ sessions and these recordings may be sold or made available to Delegates or those who were unable to attend. Speakers who do not wish to be filmed or recorded must advise Moodle in writing at least 14 days prior to the commencement date of the Event, but this may result in Moodle declining to include them in the Event.
Copyright
Delegates must not post content or materials (such as graphics) to the MoodleMoot site, or include such content in any presentation materials unless they won the copyright to such content/materials or have explicit permission from the copyright holder. Delegates agree to indemnity Moodle against any claims or losses result from unauthorised use of copyrighted materials.
Waiver of Liability
Delegates are required to comply with the rules and regulations governing the applicable venue and/or accommodation. Any personal property Delegates bring to the venue and/or accommodation is at their own risk. Moodle accepts no liability for any loss, injury or damage whatsoever, from any action or cause whatsoever undertaken, organised or sponsored by Moodle or its affiliates, including Moodle Pty Ltd, except where directly caused by Moodle’s negligence. Delegates are liable for any claims, costs or damages they cause and agree to indemnify Moodle and its affiliates against all and any such claims.
Insurance
Only public liability insurance is included in the registration fee. Delegates are advised to arrange their own health and travel insurance before travelling.
Force Majeure Events
Notwithstanding any other representations made if, due to any circumstance beyond Moodle’s control, including government imposed restrictions, the Event cannot proceed as planned in a physical format, Moodle may either convert the Event into a virtual format or postpone the Event to new dates.
In such cases, Moodle will adjust the registration fees accordingly and may offer full refunds in certain circumstances.
Event Cancellation
Moodle reserves the right to cancel all or part of the MoodleMoot™ Global Event at any time at its sole discretion. If this occurs:
- Registration fees will be refunded, minus any booking fees, upon proof of purchase.
- Moodle’s liability will be limited to this refund.
- Moodle will make reasonable efforts to notify Delegates via its website and other communication channels. Delegates are responsible for checking updates prior to the commencement of the Event.
