This privacy policy relates to attendees and sponsors who register on this site.
Privacy and personal data
We take your privacy very seriously. In order to provide access to this site and participate in the MoodleMoot Global event, we need to collect and store personal information about you. As the administrator of your site (the “Data Controller” under General Data Protection Regulation “GDPR”) we are responsible for the purpose and means for processing your personal information.
This site is open to other registrants of the MoodleMoot Global event, and as such, your profile information and any data you post in chat discussions or elsewhere might be seen by others, and any comments you make might be quoted, copied or used elsewhere. By continuing to use this site, you agree to our privacy notice and the terms and conditions of event registration and you warrant that you have been provided with consent for any third party’s personal information that you convey to us.
What is processed by Moodle?
We process the data that you provide when registering for the MoodleMoot event and when creating an account on this site, such as your name, email and your activity on the site.
How is this information used?
This information is required in order to provide access to this site and make contributions to the MoodleMoot event and so that Moodle can contact you about the event and follow up information. Your name and email address will also be used to create an account and enrol you in the Moodle Academy course for this event, so that you can receive your attendee (and speaker) certificates. By registering for the event and accessing this site you permit Moodle to enrol you on the Moodle Academy course for the event and send you such information.

How long is my data stored?
Your personal data is stored as long as your account is active on this site and on the Moodle.Academy site. Please contact the MoodleMoot Global team to delete your personal data.

General FAQs

The accepted payment methods for the event are credit card and bank transfer. Bank transfer payments include an additional administration fee of 60 GPB. We recommend attendees book by credit card where possible. All registered attendees will receive a Tax Invoice after payment for their event registration is received.
If you choose to pay by bank transfer you will be sent a Proforma Invoice for payment. If you don’t see this in your email inbox please check your spam folder.
Attendees paying by bank transfer will have 14 days to pay for their registration. Please include your order number in the reference field for any bank transfers, so we can easily identify your payment.
Note, bank transfers can take up to 5 working days to be received.

Yes, we do offer a super early bird (limited availability) and an early bird pricing for all. Accepted speakers will be offered an extended time to secure early-bird tickets. See the tickets page for further information about pricing and the early bird registration deadline.

Yes, you will have 14 days to pay for your registration by bank transfer once you receive your proforma invoice after you have completed your registration and we will keep the same early bird price for you during this time. After the early bird deadline, the price will increase to full price if payment has not been received within 14 days from the date of registration.

All attendees must pay the 20% VAT on their tickets, which is the standard VAT rate in the UK, where the event is taking place. This applies to all attendees, regardless of the country they are registering from and if they are acting as an individual or a business.

No, MoodleMoot Global 2025 is a face-to-face event and all attendees will be expected to attend in person.

Yes, you will need to sign up as a user for the MoodleMoot Global 2025 website (moodlemoot.org) before you are able to register and/or submit an abstract proposal for the event. Once you have created an account, you can login to the website to manage your event registration and abstract submissions for the event. If you already created an account in the moodlemoot.org website in previous years, you can login directly to your account.

The ticket to attend the event includes:
- Attendance at keynote and regular presentations.
- Training sessions and hands-on sessions (subject to booking).
- Daily refreshments: morning tea, lunch and afternoon tea.
- Networking drinks.
- Party on the second day.
- MoodleMoot Global 2025 T-shirt.

The cost of attending the hands-on training sessions on Tuesday 16 September is included in the event price and your preferred session can be booked through the registration process. Please note that places are limited, so register soon to avoid disappointment.

No, travel and accommodation are not included in the ticket price for the event. All attendees are responsible for booking and covering the costs of their own travel and accommodation arrangements. Attendees will have the opportunity to book their accommodation at special rates for a limited period of time. We invite you to review this document to check all the different accommodation options available at special rates across Edinburgh and find out more details about how to book your preferred one.

Daily tickets are not available at this event. A ticket is for one individual delegate to attend the event. One ticket may not be utilised by several individuals.

Group bookings are not offered for this event; only individual bookings are possible. Each registration will be linked to the email address of the registered user on the event website. We will use this email address to contact you regarding your booking and provide information about the event. Each attendee may purchase one Extra Party Guest ticket. You will be able to book a ticket for an extra party guest after you have completed your registration.

Only registered delegates will have access to the conference areas and catering. However, you can bring an accompanying person to the MoodleMoot Party on Wednesday 17 September for an additional cost of 120 GBP + VAT. This will include access to the party, a cocktail dinner and drinks. You will be able to purchase an extra party guest ticket, and fill out the necessary details, after you have completed your registration. All guests must be over 18 years of age.

Yes, approximately a week after the event, all attendees will receive an online certificate of attendance via email.

The suggested dress code is (business) casual, but you can wear whatever makes you feel comfortable during the event. September in Edinburgh can be quite variable, with temperatures ranging from 10–17°C (50–63°F). You should be prepared for a mix of cool mornings, mild afternoons, and occasional rain.
More information about the party theme will be communicated to attendees prior to the event, so they can prepare their themed costumes in advance.

Yes, you will be provided with an access code to use the WiFi connection during the conference.

Due to the city centre location of the EICC there is no onsite parking available. We invite you to review this document which includes a list of nearby carparks that you may wish to use for your visit.

If you would like to sponsor the event, you will need to complete and submit the MoodleMoot Global sponsorship interest form to receive a copy of the Sponsorship prospectus and you will need to submit your sponsorship application. After receiving your sponsorship application, we will contact you to confirm your preferred sponsorship type and the next steps.

Yes, there will be a MoodleMoot Global 2025 mobile app available to all attendees prior, during and after the event. All registered attendees and sponsors will get access to the event app at least a week before the event starts and for a month after the conference. Further details and instructions about how to install the mobile Event App will be shared with attendees in due course.

Speaker & Presenter FAQs

No, the official language of this event is English. All presentations and abstracts should be written and delivered in English, so we expect all participants to be able to speak and understand English.

The maximum length of your abstract body is 300 words. We recommend you visit the Agenda and Speakers page to check the full requirements.

The specific stream should be selected during the abstract submission process. The most relevant theme or themes should be added as comma separated phrases beginning with a # into the Keywords field on the Abstract submission page, alongside any other keywords that describe your presentation. Please refer to the submission instructions within the text area on the abstract submission page, or review the Agenda and Speakers page for further information.

Yes, all confirmed sponsors that have at least one slot in the program as part of their sponsorship package will need to submit an abstract for each presentation by the abstract submission deadline (or as soon as they confirm their sponsorship participation if that’s after the abstract submission deadline). Once this sponsorship application has been accepted and the sponsor type has been confirmed, the main contact person will receive the relevant invitations to register their attendance and submit abstract(s) for the event.

If you are selected as a presenter (speaker or poster) your abstract will be added to the event website upon payment of your registration and this will be publicly available.

All selected speakers and poster presenters will be notified via email about the outcome of their abstract submission, including detailed information about the selected format, preparation and next steps.

Yes, speakers will be encouraged to share their PowerPoint file (pptx) presentations with us in advance, to ensure a smooth transition between presenters and respect the program times. Presenters will be able to submit their pptx files on the moodlemoot.org website, closer to the date of the event.

We will welcome abstract proposals for 2 different presentation types:
- Presentation – Duration: 30 minutes (20 min talk + 10 min Q&A).
- Poster presentation during a coffee break.

Yes, all presentations at MoodleMoot Global 2025 will be recorded and made publicly available after the event, with the exception of the hands-on training sessions from Tuesday 16 September.

No, unfortunately, we do not offer discounts to speakers. We will notify speakers of their acceptance with plenty of time to secure early-bird tickets before the deadline. Visit the event website for further information about pricing and the early bird registration deadline.

If you are unable to attend, you can transfer your registration to a colleague at no extra cost up to two weeks before the event (1 September 2025). To request a registration transfer, please complete this contact form and let us know your email address and the full name and email address of the person you would like to transfer the ticket to. Once we confirm this with you, we will transfer your registration.

If a cancellation notice is received in writing more than 30 days before the conference, a refund will be provided, minus an administration fee of 60 GPB. If a cancellation notice is received 30 days or less before the conference, no refund will be given. Please complete this contact form.

If a force majeure event means the event cannot continue as planned, the event will be postponed or moved to an online format. All registrations from attendees will be automatically transferred to the new dates. If the event is rescheduled it will be held within 12 months of the original conference dates. All attendees will be notified via email and given the option to receive a full refund. If the event can not be rearranged within this timespan, all attendees will be given a full refund.

Starting 2nd April 2025, EU citizens (excluding Ireland) will need an Electronic Travel Authorisation (ETA) for short visits to the United Kingdom (UK), including tourism and business. Different requirements may apply to other nationalities. Please visit the UK Government website for detailed information based on your nationality.

Your ticket for MoodleMoot Global 2025 does not give you access to the Global Partners Day. If you are planning to attend the Global Moodle Partners Day as part of the pre-conference, you will need to confirm your attendance separately via the Moodle Partner Portal.
