Terms and Conditions

Terms of Registration

These are the Terms and Conditions that form part of the registration to the MoodleMoot™ Global conference (Event) between Moodle Pty Ltd, (referred to as Moodle) and the party whose name appears as the Delegate upon registration.

Registration  

Submission of a duly completed online registration will be regarded as a binding offer by the Delegate (subject to availability) and the Delegate affirms acceptance of these terms and conditions to Moodle. A binding contract will only be formed when full payment for your registration has been received and you have received a booking confirmation email from Moodle. If Moodle is unable to process your booking request, for example if the Event has been overbooked, Moodle will inform you of this by email and Moodle will not charge you for the Event. Registration payment covers:

  • attendance at keynote and regular presentations (if applicable).
  • workshops (if applicable).
  • jam events and any focus sessions (subject to booking).
  • networking drinks (if applicable).
  • MoodleMoot Global 2024 T-shirt.
  • party on the second day.
  • tea, coffee, morning tea, lunch and afternoon tea each day.

The conference registration fee does not include accommodation, ground transport, airfares or any other travel costs, meals outside the conference nor other incidental costs.

Payment Terms

Your registration payment is due 14 days from when the invoice is issued. Whether you are paying by credit card or bank transfer, the two accepted payment methods at this Event, an invoice will be sent to you from Moodle when you complete your registration and payment. All Delegates acknowledge and accept that they are responsible for any additional charges incurred from bank transfers or credit card payments. If your institution/company is paying your registration on your behalf, please ensure that payment has been paid within 14 days of registration. Further, payment must be received by Moodle prior to the Event commencement date.

All amounts shown on the MoodleMoot site are in United States Dollar (USD) and are exclusive of booking fees and taxes. For the avoidance of doubt there is no VAT or GST directly applicable for registrations at this Event.

To qualify for local Delegate price

Only attendees based in Argentina, Bolivia, Brazil, Chile, Colombia, Costa Rica, Cuba, Dominican Republic, Ecuador, El Salvador, Guatemala, Haiti, Honduras, México, Nicaragua, Panama, Paraguay, Peru, Uruguay and Venezuela are eligible for the local attendee registration price. Proof of residence may be requested by Moodle at or prior to attendance at the Event and any falsified registrations may be called out publicly at the Event.

Sharing registrations

A registration is for one (1) individual Delegate to attend the Event. Subject to an approved transfer, each registration must not be utilised by more than one individual Delegate.

To qualify for early bird registrations

Registration must be completed by 16 July 13 August 2024 (UTC-6). Early bird payments must be received by 29 July 26 August 2024 (UTC-6). Initial deadlines have been extended.

Cancellation Policy

All cancellation requests must be made in writing to Moodle by completing our contact form. Subject to force majeure events, if a cancellation notice is received more than 30 days before the conference, a refund will be provided less an administration fee of 60USD. The refund will be processed in the same payment method that was used to complete the payment. If the refund needs to be processed by bank transfer, the Delegate will be responsible for any bank fees or conversion fees associated with this transaction. If a cancellation notice is received 30 days or less before the conference, no refund will be given.

Non-Attendance  

No refunds will be made due to non-attendance.

Transfer of Registration

Transfer of your registration to another person is acceptable up to two weeks before the Event, subject to Moodle’s final determination. In order to do so, please contact us by completing this contact form and provide us with the full name, email address and organisation of the person that will replace you, and we will endeavour to organise the transfer of registration.

MoodleMoot Program

Moodle reserves the right to make alterations to the program, date and/or venue at any time without prior notice. Moodle will, of course, provide as much notice as possible.

MoodleMoot Values

Moodle reserves the right to cancel and refund any registrations by Delegates deemed by Moodle not to be aligned with Moodle’s values or Delegates operating in direct competition with Moodle and its Certified Partners.

Moodle Trade Marks

The word Moodle and associated Moodle logos (including ‘MoodleMoot’) are trademarks or registered trademarks of Moodle Pty Ltd or its related affiliates. The Delegate is not authorised to use the Moodle Marks without permission.

Special Dietary / Physical / Other Requirements

Special dietary, physical and other requirements will not be catered for unless we have received your written request and confirmed such prior to event commencement. Please note your requirements on your registration form.

Privacy Statement

You acknowledge and consent, by registering for the conference (or registering on behalf of others) that Moodle will collect and store certain personal information for the purposes of enabling us to:

  • register your attendance at the conference;
  • assist with administrative and planning purposes;
  • plan and develop conferences and other events in the future;
  • facilitate your requirements in relation to the conference;
  • allow the compilation and analysis of statistics relevant to the conference; 
  • invite you to future events; and
  • permit Moodle or its relevant Certified Partners (where Moodle cannot service your needs) to contact you regarding Moodle software products and services in accordance with our Privacy Policy.

The information that you provide in the registration form and information provided at any other time during the conference, including without limitation any feedback obtained during the conference, will be used by Moodle to offer, provide and continue to improve its conferences. Moodle may disclose some of the information that is collected in the registration form such as your name, your organisation and its location and your email address to third parties providers to process the payment of fees and taxes obligations.

Moodle will not otherwise, without your consent, use or disclose your personal information for any purpose unless it would reasonably be expected that such purpose is related to the offer, provision and improvement of the conference or where such purpose is permitted or required by law. All personal data collected is internally processed only by designated Moodle staff members and stored on servers which abide by Moodle’s security rules and standards. Photography & Filming

For promotional purposes, there may be photography and video production taking place during the conference. Delegates who do not wish to be filmed or recorded should advise the conference organisers prior to the conference.

Speakers

Views expressed by the speakers are their own. Moodle cannot accept liability for advice given, or views expressed, by any speaker at the conference or any material provided to Delegates.

Additional Speaker Terms & Conditions

Moodle may use speakers’ names and presentation materials when promoting the conference. Presentations and associated materials will not be returned unless specifically requested by speakers. Moodle may record or video all speakers’ sessions. Such recordings may be reproduced or sold to Delegates or those who were unable to attend. Speakers who do not wish to be filmed or recorded must advise Moodle in writing 14 days prior to the conference date, but may result in Moodle declining to utilise such speakers.

Copyright

You must not post content or materials (such as graphics) to the MoodleMoot site, or include such content in any presentation materials unless you are the copyright owner, or have unequivocal permission from the copyright owner to use such work. You agree to indemnify Moodle for any claims and all loss suffered by Moodle relating to materials submitted by you.

Waiver of Liability

Delegates are required to comply with the rules and regulations governing the applicable venue and/or accommodation. Any property Delegates bring to the venue and/or accommodation is at their own risk. Moodle accepts no liability for any loss, injury or damage whatsoever, from any action or cause whatsoever undertaken, organised or sponsored by Moodle or its affiliates, including Moodle Pty Ltd.

Except to the extent caused by a negligent act of Moodle, each Delegate is liable for and shall indemnify and keep indemnified Moodle and its affiliates against any and all claims, liabilities, costs or damages caused or contributed to by the indemnifying Delegate relating to the conference. 

Insurance

Only public liability insurance is included in registration fees and it is advised that Delegates take out appropriate insurances, including health and travel insurance prior to any travelling.

Force majeure events (including COVID-19 related diseases) 

Notwithstanding any other representations made if, due to any circumstance beyond the parties’ control, including government imposed restrictions, the Event cannot proceed as planned in a physical format, then you agree that Moodle may change the running of the Event to a virtual format or postpone the physical Event to new dates.

If this should occur then Moodle will provide a revision of the benefits to be provided and consequent adjustment of registration fees, including potential for full refund in certain circumstances.

Event Cancellation 

Moodle reserves the right to cancel the MoodleMoot™ Global conference or parts thereof at any time at its sole discretion. In the event of such a cancellation, Moodle will refund registration fees paid, minus any booking fees, direct to the Delegate upon proof of purchase, and this refund shall be the full extent of Moodle’s liability to the Delegate arising out of such cancellation. In the event of cancellation, Moodle will use reasonable endeavours to alert those who have booked to attend the conference and/or who purchased conference tickets. The details of any cancellation will be posted on Moodle’s website. Delegates are responsible for checking this information prior to the conference.
